Privacy & Cancellation Policy

What information we collect about you

When you make a booking with us we collect the names of all the guests who will be staying with us, the home address, email address and telephone number of the person making the booking. We also collect a debit or credit card number to take the deposit equal to the first night of your stay.

How we use the information we hold on you

We use your home address as part of the card payment processing to validate the card.
We will use your email address to send you confirmation of the booking and an email with more details on how to find us and other information you may find useful for your stay.
After your stay you will receive an email checking everything was satisfactory and offering you ways of staying in touch with us by social media or email should you choose to do so.
We will not use your telephone number to contact you unless it is for an emergency and/or we have not been able to contact you by email.

How is your data stored

All of the personal and debit/credit card data you supply us, as part of the booking process, is stored securely on a third party system, Paystack.
Neither we nor Siteminder/Little Hotelier will share your information with any third party unless there is a legal reason for doing so.

Marketing

Guest registration

We are required by law to collect the following information on all our guests. We do this by asking you to fill in a registration form on arrival.
+ Name and home address
+ Passport details
It is a legal requirement to pass these details on to the relevant government and tourist authorities.

Access to your information

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.

Cancellation Policy at our Luxury Guesthouse

To avoid last minute cancellations all reservations must be confirmed by a credit card. Depending on the booking offer you have chosen, different cancellation policies apply. Early bookings and longer stays receive a preferential rate. Thank you for your understanding.

Good to know

Exclusivity
Villa Chad is reserved for resident guests only. No external visitors are permitted on the property.

Quiet Hours
Out of respect for everyone's rest, we kindly ask that noise be kept to a minimum after 22:00.

Braai Policy
Private barbecues are not allowed in the garden. Instead, we occasionally host our own traditional South African braai evenings, which guests will be warmly invited to join.

Pool Access
The swimming pool is open seasonally, from 1 November each year.

Breakfast
Breakfast is served daily between 08:00 and 10:00. Please let us know the day before at what time you'd like to have breakfast. Coffee and tea are available throughout the day. Please note that the kitchen is reserved for staff use only.

Please be mindful of others at all times, particularly during evening hours, to preserve the peaceful atmosphere Villa Chad is known for.
